When you have staff worldwide it is inevitable that there is going to be confusion due to differences in language and culture. One subtle but very important misunderstanding occurs with dates, particularly due to differences between the format in the United States (mm/dd/yy) and European countries (dd/mm/yy).

What does it mean if an invoice was raised on 4/9/10 – is it the 9th of April, or 4th of September ? Five months can make a lot of difference, particularly if you are waiting to get paid.

To avoid potential confusion Invoiceplace now prints the invoice date and invoice date in a format including the month. This is printed in the review screen displayed after creating an online invoice.

Online invoicing with the bank account IBAN number

They simply receive an email with your invoice attached and can pay online with a credit card, if you were to set-up a free merchant account with Paymate.com for example.

Another popular payment option that can be done online is a direct bank transfers. Invoiceplace can already record and print your bank account details on invoices, and this has been further enhanced to display your account IBAN (International Bank Account Number).

What is the IBAN ?

The International Bank Account Number (or IBAN) identifies your bank account in a format that many banks recognise and use for international transactions. This was driven by the need for a common identifier, since the account information required can vary by country, and the more details provided increases the risk of a number being entered incorrectly.

How to include the IBAN with the bank transfer payment method on an invoice

Your IBAN is entered in the supplier details (shown below). After entering the IBAN to print this on an invoice simply select the ‘Direct Bank Transfer’ payment method.

Print the VAT, GST or sales tax rate on an invoice

A regulation in many countries around the world is to include the rate of tax (VAT, GST, etc) applied to an invoice. Now Invoiceplace will automatically print the tax rate when you print or email an invoice.

In the example below an online invoice is created with two items. One is tax free, and the other has a VAT rate of 17.5%.

When the invoice is printed that VAT rate is automatically printed with the total amount of tax. This keeps the tax man happy and means no extra effort for you when invoicing.

Create print and copy invoices for fast online invoicing

Add products to invoices faster

If you sell the same service or items you can track your sales and save time by creating products. A product can be used for physical goods (such as jumping castles) to services (such as legal advice).

In many cases products are similar (i.e. different variations of the same model jumping castle), so to save time when setting up products and inventory a new option ‘Save and Copy’ is now available when creating or editing a product. Clicking this button will create a new product and copy the details from the last one.

Create an invoice with end of month payment terms

Invoiceplace provides the freedom to set your own invoice payment terms (the number of days until payment is due).

Payment can be due immediately or stretch out to any number of the days in the future, which depends on the business relationship you have with your customer.

Some customers require invoices to be billed for the end of each calendar month, hence a new payment term of ‘End of Month’ is now available. The due date is the end of the month in which the invoice was raised. For example an invoice raised (i.e. Invoice Date) on the 1st of January would have a due date of the 31st of January.

To save time having to manually work out how many days are left until the end of the month simply type in ‘End of Month’Â in the ‘Days Before Payment Due’ field.

If you have customers that always require ‘End of Month’ payment you can save time by creating an invoice template for these customers with this payment term already filled in, further saving you time when billing.

Easy online invoicing for Spanish businesses
