Invoicing with customer credit as payment

When a customer returns goods that you sold to them they either receive a refund or you can issue them with a credit note. A credit note can be used to make a payment against another invoice, and now Invoiceplace lets you use customer credit as payment for an invoice.

When a customer pays by credit this is the only payment method allowed on a single receipt. If a customer paid the balance of an invoice you can create a second receipt for the same invoice.

The first prerequisite is that a customer has an existing credit note, which are listed along with the overdue, due and paid invoices. In this example a $50 credit notes was created for Al the Butcher.

In the Customer details the credit balance is now listed. Al has a $50 balance.  Multi-currency support allows Al to have a credit balance in other currencies if required – note that this credit is in Australian Dollars only.

If Al makes a new purchase for $50 he can pay this using his credit balance.

When creating the receipt select Credit Note as the payment method.

A receipt cannot be created for an amount greater than the credit balance in the currency of the receipt (in this case we’re trying to record a payment amount of $60 in credit).

Print the VAT, GST or sales tax rate on an invoice

A regulation in many countries around the world is to include the rate of tax (VAT, GST, etc) applied to an invoice. Now Invoiceplace will automatically print the tax rate when you print or email an invoice.

In the example below an online invoice is created with two items. One is tax free, and the other has a VAT rate of 17.5%.

When the invoice is printed that VAT rate is automatically printed with the total amount of tax. This keeps the tax man happy and means no extra effort for you when invoicing.

Ecuador is now available with Invoiceplace. The national currency is US dollars, but businesses can transact in other currencies with other South American countries if required.

Add products to invoices faster

If you sell the same service or items you can track your sales and save time by creating products. A product can be used for physical goods (such as jumping castles) to services (such as legal advice).

In many cases products are similar (i.e. different variations of the same model jumping castle), so to save time when setting up products and inventory a new option ‘Save and Copy’ is now available when creating or editing a product. Clicking this button will create a new product and copy the details from the last one.

Create an invoice with end of month payment terms

Invoiceplace provides the freedom to set your own invoice payment terms (the number of days until payment is due).

Payment can be due immediately or stretch out to any number of the days in the future, which depends on the business relationship you have with your customer.

Some customers require invoices to be billed for the end of each calendar month, hence a new payment term of ‘End of Month’ is now available. The due date is the end of the month in which the invoice was raised. For example an invoice raised (i.e. Invoice Date) on the 1st of January would have a due date of the 31st of January.

To save time having to manually work out how many days are left until the end of the month simply type in ‘End of Month’  in the ‘Days Before Payment Due’ field.

Enhanced reports for easy online invoicing

Invoiceplace now provides a Reports tab to make it even easier to take control of your invoicing. The first report available is a listing of paid invoices that can be downloaded in Excel format.

Choose the report you require by clicking on the button under the ‘Create’ column.

The next step provides a way to choose report parameters (such as only displaying invoices created with a certain date range). At the moment this report does not have any parameters, so all invoices will be listed.

Creating the report is as simple as clicking on the ‘Print’ button.

Your report is created as an Excel spreadsheet, and totals have already been calculated. You have the freedom to perform whatever other calculations are required to get the information you need to keep yourself, your accountant, and (most importantly of all!) the government tax office up to date.

Less is more for online invoicing

Invoiceplace is the only place to go for easy online invoicing with multi-currency support, and now even better by giving you less! Now it is easier to export your accounting data and perform calculations in Excel because the currency symbol as been removed.

The reason this was done was that Excel was unable to automatically recognise amounts in certain currencies, such as the Euro. This required more effort to reformat the data in order to perform sums and other calculations.

Online invoicing with staff accounts

Manage your invoicing and quotes for from any computer connected to the internet. Now your staff can have their own accounts with separate log-in details with an Invoiceplace Professional and Premium subscription.

To create staff accounts click on the ‘Templates / Settings’ tab, and select ‘User Account’ from the ‘Create New:’ drop down list.

Your staff member can have their own username and password.
